Questions and answers

Here are some of the most frequently asked questions about Tavata. We hope that you find an answer to your question here. If not, send us a question and we will answer to you promptly.

After having joined to the event with the event code, you can view the whole event program in the Program tab. From here you will find the event program and the program infos. Choose the program you want to watch and join it by clicking the program. If the event organizer has created open video rooms for free discussion, you can also join into these video rooms from the Program tab.

You can also watch the main stage program directly from Event wall and Stream tabs.

Edit your Tavata profile (not your event profile). Click from your own name in the right corner of the page while logged in to Tavata, then click Edit profile from the menu. Then change the company profile to a private person's profile from the button "These are private person's information", and now you can edit your profile and attend as a private person.

You can add PDF-files to your profile. Add for example CV as a PDF-file or some other attachment of your choice. Adding attachments can be done when editing Tavata profile.

As an event organizer, go to Event and community management page, open your event and from the settings, click Program tab and Add new program. In the right corner you can see a small wheel icon, click that and from the opening menu you can now add a link to your livestream or recording and edit the program as you want.

If you are using Jitsi Meet in the event program, all of the attendees can control their own microphone and camera from the icons below. The supervisor of the event program can mute all the participants, but the partcipants can also turn their microphone and camera back on. Please take notice, that the browser for Jitsi Meet video rooms is Chrome.

If you are using Teams, Zoom or some other external service for your event program, let the performers etc. know about the external service's own practices and functionalities.

  1. Check your browser. We recommend you to use Chrome - Tavata works best when using this browser. If you can not use Chrome, update at least your browser to the latest version.
     
  2. If your computer / other device has a strong firewall, it can cause problems for you to get in to Tavata and using the site. If you can't turn the firewall off or lower it down, try asking for help from your IT services.
     
  3. Take notice, that VPN-connection or some similar might restrict the use of Tavata. If you have VPN or some similar connection in your device, try to shut it off from your device if you can. Then shut down your device, update the site and try using Tavata again.
     
  4. Log out from Tavata. Close the browser. Then open the browser again and log in to Tavata again. If necessary, shut down your device and try again.
     
  5. Try using Tavata with different device or in a different Wi-fi connection. You can also try to share the connection from your phone by putting on hotspot.

You can exit an event in Tavata from the tab My events and networks, and by clicking the icon on the right and next to your event, and by clicking Exit the event.

Tavata is an event organizer's tool for arranging events and maintaining networks. Tavata event platform can be used in physical, hybrid and virtual events. It is possible to bring all the event content to the same platform: event program inclunding livestreams, recordings, videos and videorooms, speakers, exhibitors and partners, event info and other materials and also give the attendees the possibility to meet others and network. 

Tavata has three main features: Events, Recruiting and Social, which can be used in different kinds of purposes.

First, join to an event. Update your event profile in the Profile tab. From the event profile you will find questions asked by the event organizer. Please answer all the questions in order to network efficiently and find the best contacts for you.

First, log in to Tavata. Then from the right corner of the page, click on top of your name and choose 'Edit user profile'. In here you can update your contact info, add a profile picture and add an attachment to your profile. The info you add to your profile will be visible in all of the events you attend in. If necessary, you can edit your profile later and update your info too.

With company profile you can let other attendees know which organization you are representing in the event, and tell your business contact information to others. If you are attending for example a recruiting event as a representative of a recruiting organization or event partner, you can choose the company profile.

If the Participants tab and the Schedule & Program tab are shown as grey and you can't click on them, it means that there are some mandatory questions set by the event organizer you have to answer before you can enter the tabs. The red little stars next to the questions in the Profile tab means that the question is mandatory. Once you have answered all the mandatory questions, proceed to the Participants tab and Schedule & Program tab.

From Schedule & Program tab you can find the whole event program and your own schedule. Schedule tab contains your arranged meetings and the event program you have picked for youself to watch.

You can log in to Tavata in https://app.tavata.events/login. Log in to Tavata with your e-mail and the password you created when registering. You can log in to Tavata also with your Facebook, Google or LinkedIn account.

Tavata video room is a feature, which can be used for example in interactive introductions, or virtual rooms for coffee breaks or conversations. Also video meetings are held in video rooms. Video rooms function via Jitsi Meet.

 

Video rooms and video meetings function via Jitsi Meet. If you are using Tavata with a mobile device, you should download Jitsi Meet app from your app store before attending video meeting or video room. Download the free app from your store https://jitsi.org/downloads, you do not need to do anything else. Now attend you meeting from you Schedule.

You can suggest a meeting in Participants tab by clicking a participant's profilecard's handshake icon. In this profillecard's page you can see the participant's contact info and can suggest a meeting directly and pick a time for the meeting. You can also send the participant a message. 

You can attend a video meeting from Schedule & Program tab, and opening your Schedule. From Schedule page you cand find all your appointments and event programs you have planned to attend in. Attend the meeting from the arrow icon in the right side of the meeting and clicking "Attend the video meeting".

For video meetings and video rooms you should use the browser Chrome.

Attending a video meeting or video room, you have to allow the use of microphone and camera. The site will ask you this the first time you are attending a video meeting or video room, allow this. If you accidentally pressed "Do not allow", you can change this setting from Chrome's own settings.

If you still can't use your microphone or camera or are having problems with them functioning properly, make sure you have given the permission to use microphone and camera also from your device settings.

If you still have problems with using microphone or camera, try to find solution to your problem from Technical issues or contact our support.

In the left corner of Jitsi Meet room you can find a computer screen icon. Activate the icon by clicking it and choose the screen you want to share. After you have activated the icon it turns to blue and you can start sharing your screen.

You will get the event code from the event organizer. The organizer can share the code to you for example directly via e-mail or in social media channels. The event can also be public, when you can find the event code from our web page.

You can join an event with event code, which you can get from the event organizer. Write the event code in the event code box, which you can find logged in. Write the code in the box and click Join.

You can see all event attendeees from Participants tab. Tavata's matchmaking function will automaticly suggest the best contacts for you. From Participants tab you can get to know other attendees, suggest meetings and network with others.

Register at https://app.tavata.events/signup. Fill in the asked information. You can also register with your Facebook, Google or LinkedIn account.

You can exit an event in Tavata from the tab My events and networks, and by clicking the icon on the right and next to your event, and by clicking Exit the event.
